Manager guide: approving leave, swaps, and broadcasts
Managers clear three high-impact queues: leave, rota changes, and broadcast drafts. This guide is a practical daily operating rhythm.
Morning sweep (10 minutes)
- Open the notifications bell.
- Open
/pending-approvalsor mobile Pending approvals. - Clear leave first when coverage is at risk today.
- Clear swap / unassign requests next. Remember: peer accept is not final until you approve.
- Clear Assistant broadcast drafts waiting on you.
- Skim Calendar for the next 48 hours.
Leave approvals in depth
- Confirm dates against blackout periods and bank holidays.
- Check team coverage on Schedule and swaps before approving peak days.
- Reject with a clear alternative date when possible.
- Wrong approvals create payroll and fairness issues later.
Rota swaps and unassigns
- A pending swap is not confirmed cover.
- Only approve when the replacement is real and eligible.
- If you decline, say why so people can find another option.
- Keep the original assignee accountable until approval completes.
Broadcast approvals
- Check audience before tone.
- Mandatory channels are for true all-hands messages.
- Urgent operational messages deserve a quick ping to the author if your queue is deep.
- Editing after send does not re-notify email/push.
Escalation
If you lack a permission, ask a Super Admin. Do not share accounts. Shared logins break audit trails for leave and hiring.
Weekly manager habits
- Review department membership for leavers
- Confirm reporting lines still match who you approve
- Skim unread mandatory broadcasts yourself so you are not surprised by staff questions
